Legal Administrative Assistant - Corporate

Winthrop & Weinstine is seeking a full-time Legal Administrative Assistant to work in the Corporate Department. The responsibilities and qualifications for this position will include, but are not limited to:
 
  • Draft and format professional correspondence and documents.
  • Review, organize, assemble and scan documents in preparation for closings.
  • Prepare, circulate and track signature pages for closings.
  • Assist and maintain checklists in the preparation of closing books.
  • Maintain corporate minute books.
  • Act as a liaison between attorney and client, facilitating communication and transmittal of necessary information.
  • Process and transmit client documents and materials.
  • Process document comparisons.
  • Review, edit and finalize attorney time entries.
  • Process and distribute client invoices.
  • Process new file openings and prepare engagement letters.
  • Monitor attorney inbox and electronically file client matters.
  • Provide administrative support such as calendar and email maintenance, answering phones, making travel arrangements and processing expense reports.
  • Provide quality, responsive customer service to clients and co-workers.
  • Strong attention to detail, accuracy, excellent grammar, proofreading and communication skills.
  • Ability to work within a team environment and work well under pressure with deadlines.

  • Individuals must have a high school degree or equivalent and previous experience working in a law firm is preferred.

    Legal Administrative Assistant - Real Estate

    Winthrop & Weinstine is seeking a full-time Legal Administrative Assistant to work in the Real Estate Finance Department. The responsibilities and qualifications for this position will include, but are not limited to:
     
  • Draft and revise organizational documents.
  • Create and help maintain closing checklists.
  • Act as a liaison between attorney and client, facilitating communication and transmittal of necessary information.
  • Advise and communicate regularly with team regarding status of client matters.
  • Assist team with deal closings.
  • Handle closing book and other related post-closing matters.
  • Send and track signature pages and original documents.
  • Calendar important deal closing dates.
  • Keep clients' electronic files up to date with current organizational documents.
  • Monitor attorney inbox and electronically file client matters.
  • Open client files.
  • Process client invoices and attorney reimbursements.
  • Process document comparisons.
  • Form entities and obtain certificates from the Secretary of State and IRS.
  • Provide quality, responsive customer service to clients and co-workers.
  • Strong attention to detail, accuracy; excellent grammar, proofreading and communication skills.
  • Ability to work within a team environment and work well under pressure with deadlines.
